Filtering with Outlook Rules

The Rules feature of Microsoft Outlook allows you to filter any eMail message in a variety of ways. Rules make automatically organizing your messages quick and easy.
For example, you could automatically move messages from your Inbox to another folder. This comes in handy when you receive many messages from the same source which you would like to organize by saving into a particular folder. The Rules feature also allows for more advanced actions such as automatically deleting unwanted messages from particular sources, or flagging them for more immediate attention.
The instructions below are only a brief introduction to the most commonly used rules and settings for Outlook Rules. If you’d like additional information on creating rules, choose the Help option from the main menu within Outlook and search for the term “Create Rules”.
Creating a Rule
Click the folder that contains the message you want to create a rule for.
In this case we clicked Inbox folder, but you could choose to create a rule using a mail message from any folder you’d like.
Right-click the message you want to base a rule on.
rule: One or more automatic actions taken on e-mail messages and meeting requests that meet certain conditions, along with any exceptions to those conditions. Rules are also referred to as filters.
On the menu that pops-up click Create Rule.
In the Create Rule dialog box, place a check mark by the options you want to apply to the selected mail message.
In this example we choose to have all messages from Lamar Golson move to the Info eMail folder automatically.
To choose the folder to move messages to clickSelect Folder and choose the needed folder.
Completed the simple steps above will complete most rules you may need. However, if you’d like more options to create a more advanced rule, click Advanced Options, and then follow then the instructions in the Rules Wizard.
