Off-Campus eMail Client Setup (POP/IMAP)

USCA provides remote access to your Exchange eMail account via both web and client based access.
Instructions for using the Outlook Web Access Client, can be found here. To access eMail via the web, please go to the following web address: https://mail.usca.edu.
If you would prefer to use a client to access your eMail remotely. Please continue to the instructions found below.
NOTE: The instructions found on this page are for accessing your eMail off-campus and/or accessing your eMail from a non-USCA owned computer. They should not be used for your office computer or school issued laptop. If you require asstance in setting up your office or issued laptop for eMail, please contact the Helpdesk.
Below are directions for setting up your USCA email account using POP or IMAP connections. Four of the more common email clients (Outlook Express, Outlook, Eudora, and Entourage) are listed below. During the setup, you will be required to make a choice between POP or IMAP connection protocols. Read each option carefully, because there are significant differences between POP and IMAP. Both, however, are supported by USCA's Exchange email system.
If you find these choices too intimidating, you don't have to set anything up. Instead, you can use the new Outlook 2003 Web Mail application. Connect to the Internet and (using Internet Explorer) go to https://mail.usca.edu
So what are POP and IMAP settings?
- POP - Post Office Protocol. A protocol that provides a simple, standardized way for users to access mailboxes and download messages to their computers.
Advantages: Simplest setup, Works well with the bandwidth limitation of dial-up connections because it is primarily an off-line type of connection (client connects - downloads - disconnects).
Disadvantages: Users must decide whether to leave messages on the server or download to local PC, Downloaded message will not move with the user between systems, No folder synchronization between the server and the email client.

IMAP - Internet Message Access Protocol. A standard protocol for accessing e-mail from your local server. IMAP is a client/server protocol in which e-mail is received and held for you by your email server. IMAP is similar to the way your desktop version of Outlook manages mail for you here at USCA.
Advantages: Persistent, synchronzied connection between the server and the email client, Ability to create and organize folders on the server itself, View between the server and the client is identical, All data moves with the user between systems.
Disadvantages: Setup can be a little more confusing (subscribing to organizational folders, etc), Users with limited bandwidth can experience poor/slow performance with an IMAP configured email client program.

Microsoft Outlook
- From the START menu, click on "Control Panel".

- Double-click on the "Mail" icon.

- Click on the "Email Accounts" button.

- Select the "Add a new e-mail account" button and click "Next".

- Choose which type of email account you will be setting up. The types of accounts are IMAP and POP.

- Fill in the appropriate spaces with your information.

- "Your Name" is your first and last name for others to see when you send email to them.

For "Incoming Mail Server", you will fill in the mailing address from the company you are downloading your email from. This is the same for all users collecting from the USCA server. The address "mail.usca.edu" is used for both POP and IMAP accounts.

For "Outgoing Mail Server", enter the outgoing mailing address. This will usually need to be obtained from your ISP (Internet Service Provider) and is unique to every different Internet company. If you are on the USCA campus, the outgoing mail server is "mail.usca.edu".
- Logon information is simply your campus username and password (or the username and password for any other email account you may be setting up.
- When the "Congratulations" screen appears, you have successfully entered all of your information. Click "Finish" to complete the process.

- Under the "Tools" menu, choose "Email Accounts". Choose the account you are currently editing and click the "Change" button.

- Click on the "More Settings" button.

- Under the "Advanced" tab, make sure your window looks just like the one below:

- If this is a POP account, check the boxes next to "This server requires an encrypted connection (SSL)" for both incoming and outgoing servers. If this is an IMAP account, follow the exact same instructions, but notice that the default numbers will be slightly different.
Click the "OK" button.
Click the "Next" button.
Click the "Finish" button.
- You should now be able to check your email with Outlook.

Microsoft Outlook Express
- While in Outlook Express, choose "Accounts" under the "Tools" menu.

- Click the "Add" button and choose "Mail...".

- Type in your full name as you would like it to appear on others' computers. Then click "Next".

- Type in the email address you are setting up. For example, John Doe would enter "johnd@usca.edu" (without quotations) for his USCA email account. Then click "Next".

- For a POP account, enter the information EXACTLY how it appears below. The settings for outgoing mail (SMTP) are the same (mail.usca.edu).
- If you are setting up an IMAP account, the settings are the same as for a POP account, except select IMAP instead of POP3 from the pull-down menu.

- Enter your USCA username and password for the email account you are setting up. Then click "Next".

- When the "Congratulations" screen appears, you have successfully entered all of your information. Click "Finish" to complete the process.

- Under the "Tools" menu, choose "Accounts". Choose the account you are currently editing and click the "Properties" button.

- Under the "Advanced" tab, make sure your window looks just like the one below:

- If this is a POP account, check the boxes next to "This server requires a secure connection (SSL)" for both incoming and outgoing servers. If this is an IMAP account, follow the exact same instructions, but notice that the default numbers will be slightly different.
- Click the "OK" button and the following window will appear:

- Click the "Close" button.
- You should now be able to check your email with Outlook Express.
- Eudora for Mac OS X (No Longer Supported by CSD)
- While in Eurdora, click on "Preferences" under the File menu.

- On the "Getting Started" tab, you will see the following screen:

Fill in the appropriate spaces with your information. Your "Real Name" is your first and last name. This is used for others to see when you send them email.

For "SMTP Server", enter the outgoing mailing address (mail.usca.edu).
- Your "Return Address" is the USCA email address you are setting up. For instance, John Doe's USCA return address would be JohnD@usca.edu.
- On the "Checking Mail" tab, you will see the following screen:

Fill in the appropriate spaces with your information. Your username is the one given to you by USCA.

For "Mail Server", you will fill in the email server's address. The address "mail.usca.edu" (without quotations) is used for both POP and IMAP accounts.
- Make sure you choose between a POP or IMAP account.
- Under the "Sending Mail" tab, make sure to check the "Allow authorization" box.

- Under the "SSL" tab, make sure to change the "SSL for POP" and "SSL for IMAP" menus to say "Required (Alternate Port)", while the "SSL for SMTP" menu should say "Required (TLS)".

Click "OK" to complete the process.
- You should now be able to check your email using Eudora.
- Microsoft Entourage
NOTE: In order for Microsoft Entourage to work with Exchange, you will need Microsoft Office 2004. If you already have Office 2004, the following instructions are for setting up an Exchange account, if not, please contact the Helpdesk for assistance. POP and IMAP are not an option while using Entourage on campus.
- While in Microsoft Entourage, choose "Account Settings" under the "Entourage" menu.

- Click the "Exchange" tab and make sure to delete any existing Exchange accounts already there.

- Delete the "OfficeSync Prefs" document that is located in your home directory's Preferences folder (Macintosh HD --> Users --> *username* --> Library --> Preferences --> OfficeSync Prefs) by dragging it to the trash.

- Open the "Keychain Access" program in the "Utilities" folder (Macintosh HD --> Applications --> Utilities --> Keychain Access).

- Delete all keychain items related to Mail or Exchange. Note that your screen might not look exactly like the snapshot below.

- Open the "Microsoft Cert Manager" program in the "Office" folder located in the "Microsoft Office 2004" folder. (Macintosh HD --> Applications --> Microsoft Office 2004 --> Office --> Microsoft Cert Manager).

- Import the Exchange server certificate entitled "MAIL.PFX" by clicking on the "Import" button. First, you will need to download the certificate by clicking here. When you import the certificate, you will be asked to enter a password. The password is "gopacers" (without the quotation marks).

- You are now ready to begin setting up your Exchange account.
- While in Microsoft Entourage, choose "Account Settings" under the "Entourage" menu.

- Click the small arrow next to the "New" button and select "Exchange..." under the pulldown menu.

- Click on the button that says "Configure account manually".

- Under the "Account Settings" tab, make sure your screen looks exactly like the screenshot below, except with your username and password in the proper spaces.

- Under the "Advanced" tab, make sure your screen looks exactly like the one below. Make note that the box under "Security" must be checked.

- After clicking the "OK" button, wait a few seconds and a screen like the one below should appear. Enter your username and password, check the box to save your password, and click "OK".

- You should now be able to check your email with Entourage.
